Receptionist (Operations Assistant )

Responsibilities

The Charlotte Lab School Operations Assistant will have responsibilities in support of Charlotte Lab School operations including:

  • Serve as receptionist:

    • Create a warm front of house environment for students, staff, and families

    • Open and close front office entrance to school daily

    • Greet visitors in a warm, friendly, welcoming manner

    • Guide visitors as they use Lobby Guard and wait for their appointment in Front Office or vestibule

    • Answer telephone and take messages, directing families and community members to First Responders

    • Bring in the mail daily and distribute

    • Communicate package receipt to appropriate party

    • Review incoming faxes and forward as necessary

  • Support student attendance, by:

    • Having late students sign into the attendance system, providing the student a late pass, and sending to class

    • Manage early dismissals

      • Receive notes from parents and students regarding early dismissal

      • Call students from class

      • Ensure student is signed out of the building

  • Support basic student health services, by

    • Logging, managing and administering medication as prescribed

    • Preparing medication for students for field trips and other offsite activities

    • Helping operating the “sick room”:

      • Maintaining logs of student illness and injury

      • Contacting parents as needed

      • Providing minor first aid, such as band-aids, etc.

      • Ensuring sanitary conditions in health room

  • Develop and help with a variety of front office-related systems including, but not limited to:

    • Field trip sign-out/in, money and permission slip collection,

    • Distribute faculty mail

    • Communication between school and families

    • School and office supply inventory

    • Maintain school lost and found.

    • Order supplies as needed for school functionality (copy paper, cleaning supplies,etc)

    • Other duties as assigned

Requirements

  • ?Bachelor's degree preferred

  • 4-5 years of experience in education or with community engagement or communications

  • Spanish language fluency a plus

  • ?Unquestioned integrity and commitment to Lab’s vision, mission, and growth

  • Takes initiative, self-starter, leadership skills

  • Excellent verbal and written communication skills

  • Excellent interpersonal skills

Compensation

Charlotte Lab School offers competitive compensation commensurate with experience and education level using our Compensation Rubric. All salaries are determined pending verification of experience by our Finance/HR divisions and Board of Directors budget approval. Please note the following regarding use of the rubric:

  • Assistant, instructional, dean and counselor salaries (Grades 1-4) are determined based on 1 year credit for 1 year of teaching and/or other relevant experience. Increased pay for advanced degrees (which may include specialized leadership programs or certifications) is indicated above and paid on the basis on completion of qualifying programs.

  • Leadership salaries (Grades 5 and above) are determined based on 1 year credit for 1 year of leadership experience, and .5 year credit for each year of teaching experience. Advanced degrees are assumed, so not considered in this scale.

The position also includes medical insurance for the employee, with voluntary dental and vision plans, and spouse/family coverage. Lab also provides access to a Flexible Spending Account for health and childcare expenses and an opportunity to contribute to a 403b retirement plan. Lab provides Lab employees with 10 PTO days each year (1/month). Full time Charlotte Lab School faculty members also receive priority in the student admissions process.
